PROJECT COORDINATOR

The Project Coordinator will report to both the field operations and the estimating and preconstruction manager, depending on the task at hand. The position will also report as needed to the CEO.

Job Overview

Our growing company is seeking to hire a project coordinator who is responsible for organizing our ongoing projects, especially procurement of materials or equipment, and project budget versus actual reporting daily or more frequently. This task involves monitoring project plans, schedules, work hours, budgets, material orders, expenditures, organizing and participating in meetings, and ensuring that project deadlines are met in a timely manner. The project coordinator will also need to work with our clients and their teams to successfully complete the project.

To be successful as a project coordinator, you will need to be able to work on tight deadlines, be competent in using Microsoft Office applications such as Word and Excel, be competent in Google Suite and have exceptional verbal, written, and presentation skills.

Responsibilities and Duties

• Maintaining and monitoring project plans, project schedules, work hours, budgets, and expenditures.

• Organizing, attending, and participating in project meetings.

• Documenting and following up on important actions and decisions from meetings.

• Preparing necessary presentation materials for meetings.

• Ensuring project deadlines are met.

• Determining project changes and reporting them immediately to operations.

• Providing administrative support as needed.

• Undertaking project tasks as required.

• Developing project strategies.

• Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.

• Assess project risks and issues and provide solutions where applicable.

• Create a project management calendar for fulfilling each goal and objective.

• Put together draft pay apps for project manager or operations manager and submit to owner once approved by the manager.

• Issue purchase orders and assist in project accounts payables.

• Track project account receivables and assist in the procurement of contract receivables.

• Submit project submittals and deliverables.

• Data input into Google Suite Job Folders as required.

• Work directly with operations to help implement project goals.

• Coordinate and effectively communicate status updates of the project with client, subcontractors, and vendors.

• Assist with tracking progress and updating the labor/production report summary weekly, updating estimated cost to complete, and cash flow for project management review.

• Compiling required data and documentation for invoices and payment applications. • Researching information as required.

Qualifications

• Bachelor's degree or relevant education preferred.

• Two years minimum experience in a related field.

• Exceptional verbal, written, and presentation skills.

• Available on PC with Microsoft Teams open, logged in and chat/call enabled, working

remotely Monday through Thursday 9AM – 3PM CT, and Friday’s 10AM – 2PM.

• Ability to work effectively both independently and as part of a team.

• Experience using computers for a variety of tasks.

• Competency in Microsoft applications including Word, Excel, and Outlook.

• Competency in Google Suite.

• Knowledge of file management, transcription, and other administrative procedures.

• Ability to work on tight deadlines.

• Cell phone and working computer.

This is an at will position, governed by the law of Louisiana with the exception being as it relates

to payroll taxes. Taxes apply as per the laws of the resident employed. Compensation is hourly

paid weekly, one week in arrears, after employee’s first week of employment.
